Payment Policy

This Payment Policy explains how Braintric Electrical And Automation Engineering Pty Ltd (Braintricweus or our) handles prices, GST, payment methods, deposits, progress payments, invoices, card transactions, payment security, surcharges, overdue accounts, refunds and payment disputes. The purpose of this Policy is to provide a clear and consistent framework for amounts payable to Braintric and the way those amounts are processed.

1. Currency

Unless otherwise stated, all prices, quotations, invoices, fees and payment amounts are expressed in Australian dollars (AUD). If a transaction involves a foreign supplier, international freight or a foreign-currency cost, Braintric may convert that cost to Australian dollars using a reasonable commercial exchange rate or supplier charge applicable to the transaction where that basis has been disclosed.

2. GST

Braintric is registered for GST. Where required by Australian law, consumer-facing prices will include GST. Business quotations may show prices exclusive of GST where this is clearly stated. In that case, applicable GST will be added and separately identified.

3. Price components

Depending on the transaction, Braintric may separately identify amounts for goods, labour, travel, freight, installation, call-out charges, authority fees, specialist equipment, reimbursable expenses, approved variations or other agreed items. Mandatory charges that can reasonably be calculated before a consumer commits to a transaction will be disclosed in advance. Where a cost cannot reasonably be known until a specific requirement is confirmed, Braintric will explain the charging basis before incurring the cost where reasonably practicable.

4. Payment methods

The payment methods available for a particular transaction will be shown at checkout, on the quotation or invoice, or otherwise communicated by Braintric. Available methods may include electronic funds transfer, card payment or another method approved by Braintric. Not every payment method is necessarily available for every transaction value or type.

5. Payment instructions

Customers should make payment only using details provided through an authorised Braintric communication, quotation, invoice or payment interface. Because invoice-redirection fraud can occur, customers should independently verify any unexpected request to change Braintric’s bank account or payment instructions before transferring funds. Braintric will not ask customers to send passwords, online banking credentials or card security codes by ordinary email.

6. Card payment security

Where card payment is offered through a payment gateway or payment service provider, card information may be processed directly by that provider using its own security controls and merchant systems. Braintric does not need customers to send complete card numbers or card security codes through ordinary email. If card details are received through an insecure or inappropriate channel, Braintric may ask the customer to use an approved payment method instead.

7. Payment authorisation

By submitting a payment, the payer represents that they are authorised to use the selected payment method and that the information provided is accurate. The payer authorises processing of the amount disclosed for the relevant transaction. A payment receipt confirms that a payment instruction has been submitted or received; it does not necessarily mean that a separate order or service engagement has been accepted where acceptance is still subject to another contractual step.

8. Failed or declined payments

If a payment is declined, rejected, reversed, dishonoured, blocked or otherwise fails, Braintric may ask the customer to use another approved payment method. Braintric may pause procurement, dispatch or service commencement while a required payment remains unresolved. Any bank or payment-provider fee caused by a failed payment may be recoverable only where that charge is properly disclosed, legally recoverable and reasonably attributable to the failed transaction.

9. Deposits

Braintric may require a deposit before ordering equipment, reserving project resources or commencing work. The amount and due date of any deposit will be stated in the quotation, invoice or payment request applicable to the transaction. A deposit forms part of the total price and will be credited against amounts properly payable under the relevant transaction. Payment of a deposit does not by itself mean that the entire deposit is automatically non-refundable. The treatment of a deposit depends on the contract, work performed, committed costs and applicable law.

10. Progress payments

For project work, Braintric may use progress-payment milestones linked to defined stages such as procurement, mobilisation, installation, completion of a stage, commissioning or handover. Each progress claim should identify the relevant milestone, work stage or contractual basis for payment. The customer must pay a valid progress claim by the stated due date unless the amount is genuinely disputed.

11. Invoices

Braintric invoices will identify the amount payable and the applicable due date. Where no separate payment arrangement applies, the due date shown on the invoice governs the payment obligation. Customers should quote the invoice number or other payment reference when making payment so funds can be correctly allocated.

12. Disputed invoices

The existence of a genuine dispute over part of an invoice does not automatically suspend payment of an undisputed amount. Braintric will review a properly raised invoice dispute in good faith and provide a response within a reasonable period. If a customer genuinely disputes an invoice, the customer should notify Braintric promptly and identify:

  • the invoice number;
  • the amount disputed;
  • the reason for the dispute; and
  • any supporting information reasonably relevant to the issue.

13. Card surcharges until 30 September 2026

Under current Australian rules applying up to 30 September 2026, a business that imposes a card payment surcharge must not charge more than the cost of accepting that payment type. If there is no way for a consumer to pay without paying a surcharge, the minimum unavoidable surcharge must be reflected in the displayed price as required by law. Braintric will only impose a card surcharge where it is permitted, properly disclosed and no greater than the amount lawfully recoverable. 14. Card surcharge changes from 1 October 2026

From 1 October 2026, Visa, Mastercard, American Express and eftpos card networks are introducing no-surcharge rules for covered prepaid, debit and credit card payments. Braintric will comply with the applicable card-network rules and merchant arrangements in force for the payment method being used. Where a relevant card-network or merchant rule prohibits a surcharge, Braintric will not impose that prohibited card surcharge. These changes concern card payment surcharges and do not prevent Braintric from charging legitimate separately disclosed prices or fees for goods or services where those charges are otherwise lawful.

15. Overdue accounts

If an undisputed amount remains unpaid after its due date, Braintric may contact the customer to request payment and clarify whether there is a genuine issue preventing payment. For commercial transactions, Braintric may apply interest, administration charges or debt-recovery costs only where the relevant entitlement has been properly agreed or disclosed and is permitted by law. Braintric will not impose an amount that operates as an unlawful or disproportionate penalty.

16. Suspension for non-payment

Where a material undisputed amount remains overdue, Braintric may suspend further supply or work after reasonable notice where the contract and law permit suspension. Suspension will not be used where the amount is subject to a genuine unresolved dispute that makes suspension unlawful or unreasonable in the circumstances. Any recommencement timing may depend on labour, equipment and project availability after the overdue amount is resolved.

17. Debt recovery

Where an undisputed debt remains unpaid after reasonable attempts to resolve it, Braintric may refer the account to a debt-recovery provider, solicitor or other lawful recovery process. Only amounts lawfully recoverable will be pursued. Braintric may also provide relevant transaction information to professional advisers or recovery providers where reasonably necessary for lawful debt recovery.

18. Fraud prevention

Braintric may delay or review a payment where transaction information appears inconsistent, a payment provider flags the transaction, unauthorised activity is suspected or additional verification is reasonably necessary. Any verification request will be proportionate to the apparent risk. Customers should never disclose online banking passwords or one-time authentication codes to Braintric.

19. Refund processing

Where Braintric approves a refund, the refund will generally be returned to the original payment method where reasonably practicable. If the original method is unavailable, another appropriate method may be agreed. Braintric will initiate the refund within a reasonable period after approval and receipt of the information necessary to process it. Banks, card schemes and payment providers may require additional processing time after the refund has been initiated.

20. Payment reversals and chargebacks

If a customer does not recognise a Braintric transaction or believes an amount has been charged incorrectly, the customer should contact Braintric promptly so the transaction can be investigated. The customer may also exercise any lawful right to contact their bank, card issuer or payment provider. A chargeback process does not remove either party’s obligation to provide accurate information about the underlying transaction.

21. Payment records

Braintric maintains payment and accounting records as reasonably required for business, taxation, audit, legal and dispute-management purposes. Customers should retain copies of quotations, invoices, payment receipts and remittance confirmations relevant to their transaction.

Treat unexpected bank-detail changes cautiously. Independently verify the new details using a trusted Braintric contact method before transferring funds, because invoice-redirection fraud can occur.
